Common Use Cases for Time Blocking Planner
Daily Work Planning
Professionals plan their workday by blocking time for deep work, meetings, email, and breaks. The visual timeline shows exactly how the day is structured - ensuring critical tasks get dedicated time without distractions from meetings or interruptions.
Student Study Scheduling
Students use the planner to schedule study sessions, classes, assignments, and breaks. Colour-coding by subject helps visualise time allocation across courses, and the day summary shows whether enough time is allocated for each subject.
Remote Work & Freelancing
Remote workers and freelancers plan their day around client work, administrative tasks, and personal time. The planner helps maintain work-life boundaries by visually separating work blocks (blue) from personal (violet) and health (green) activities.
Team Schedule Coordination
Team leads and managers sketch out their ideal week, then share the text export with team members to coordinate meeting times, focus hours, and availability windows. The export includes clear time ranges for easy reference.
Deep Work & Focus Sessions
Knowledge workers use the planner to reserve uninterrupted deep work blocks (90-180 minutes) for complex tasks. The visual timeline makes it easy to protect these blocks from being overtaken by meetings or reactive work.
Wellness & Life Balance
Health-conscious individuals plan exercise, meal breaks, meditation, and social time alongside work commitments. The category breakdown shows at a glance whether personal, health, and break activities are getting enough time in the schedule.
Understanding the Time Blocking Planner
What is Time Blocking?
Time blocking is a productivity method where you divide your day into dedicated blocks of time for specific tasks, activities, or types of work. Unlike a to-do list (which lists what to do without specifying when), time blocking assigns each activity a specific place in your schedule. Our time blocking planner provides a visual timeline from 6 AM to 11 PM where you can create, edit, and colour-code blocks for different categories of activity.
How Our Time Blocking Planner Works
- View Your Timeline: The main view shows a horizontal timeline from 6 AM to 11 PM. Each hour is labelled, and time blocks appear as coloured bars positioned at their start time with height proportional to duration. Scroll within the timeline to see the full day.
- Create & Edit Blocks: Click "Add Block" to create a new time block. Use the editor panel to set the title, start time (hour and 15-minute intervals), duration (15-300 minutes), and category. Click any existing block on the timeline to edit it. Blocks adjust their visual position and height to match their schedule.
- Filter by Category: Use the category filter chips above the timeline to show only blocks of specific types (e.g. only Work or only Health). Click a category to toggle the filter, or click "All" to see everything.
- Review & Export: The sidebar shows a day summary with total booked time and a breakdown by category. Click "Copy Plan" to export your schedule as formatted text with time ranges and categories - great for sharing or saving.
The 8-Category System
- Work (blue): Professional tasks, projects, and job-related activities. Use for client work, emails, reporting, and administrative tasks.
- Personal (violet): Personal errands, chores, appointments, and life admin. Separate from work to maintain boundaries.
- Health (green): Exercise, medical appointments, stretching, and any physical wellness activities.
- Learning (amber): Study time, online courses, reading, skill development, and professional growth.
- Meeting (red): Scheduled meetings, calls, video conferences, and collaborative sessions with others.
- Break (teal): Rest periods, meals, coffee breaks, and downtime. Essential for sustaining focus throughout the day.
- Social (pink): Time with family, friends, social events, and community activities.
- Other (slate): Any activity that doesn't fit the other categories. Use as a catch-all for miscellaneous tasks.
