Understanding PTO / Vacation Day Calculations

What is a PTO / Vacation Days Calculator?

A PTO (Paid Time Off) calculator is a tool that helps employees and employers track accrued vacation days. By entering your start date, annual PTO allowance, and days already used, the calculator determines how many days you have earned so far, how many remain, and projects your future balance based on your accrual schedule.

How PTO Accrual Works

Most employers award PTO on a monthly accrual basis - you earn 1/12 of your annual allowance each month. For example, with a 15-day annual allowance, you accrue 1.25 days per month. Some companies use biweekly accrual (based on pay periods) or yearly grants (all days available at once). This calculator supports all three methods and computes your accrued balance from your specific start date.

Why Track Your PTO Balance?

Keeping track of your PTO balance helps you plan vacations, avoid losing unused days at year-end, and verify that your employer's records match your own calculations. Many companies have "use-it-or-lose-it" policies, and knowing your exact balance ensures you take the time off you have earned before it expires.

Privacy & Accuracy

This PTO calculator performs all calculations locally in your browser using JavaScript's native Date API. No data is uploaded to any server - your employment dates and PTO balances stay on your device. The calculator uses precise month-day calculations based on actual calendar dates for accurate results.

Frequently Asked Questions About PTO / Vacation Days Calculator

How does the PTO calculator work?
Enter your employment start date, annual PTO allowance (in days), and the number of days you have already used. The calculator computes how many days you have accrued from your start date to today, subtracts the used days, and shows your remaining balance. It also projects your balance at any future date using the same accrual rate.
What is the difference between monthly, biweekly, and yearly accrual?
Monthly accrual means you earn 1/12 of your annual allowance each month. Biweekly accrual spreads your allowance across 26 pay periods (roughly 2 per month). Yearly accrual grants your full annual allowance at the start of each year. Choose the method that matches your employer's policy for the most accurate results.
How is the monthly accrual rate calculated?
The monthly accrual rate is your annual PTO allowance divided by 12 months. For example, 15 days per year ÷ 12 = 1.25 days per month. Each month you work, 1.25 days are added to your accrued balance. The calculator applies this rate from your exact start date.
Can I use this calculator for any country or company?
Yes. The calculator works for any PTO policy worldwide. Enter any annual allowance (in days), select the accrual method that matches your employer, and choose your start date. The calculator computes days regardless of local holiday policies or vacation laws.
What happens to unused PTO days at year-end?
This depends on your employer's policy. Some companies allow carryover of unused days to the next year, while others have a "use-it-or-lose-it" policy. Some pay out unused days. Use the projection feature to see your balance at year-end and plan accordingly.
Does the calculator account for part-time or reduced schedules?
Yes. If you work part-time and receive a prorated PTO allowance, enter your prorated annual allowance (e.g., 7.5 days instead of 15 for half-time). The calculator will compute accrual based on that reduced allowance.
Is my data saved or shared?
No. All calculations run entirely in your browser. No data - including your start date, PTO allowance, or used days - is ever sent to any server. Your information stays private on your device.
How accurate is the projection feature?
The projection calculates your accrued PTO from your start date to the projection date using the same monthly accrual rate. It assumes you continue working and earning PTO at the same rate. Actual balances may differ if your employment status changes or if your employer modifies the PTO policy.
Is this tool free to use?
Yes. The PTO / Vacation Days Calculator is completely free to use with no signup, no premium features, and no usage limits. Use it as many times as you need, for any purpose, entirely free.
