About the Expense Report & VAT Recovery Calculator

What Is an Expense Report Calculator?

An expense report calculator helps employees, freelancers, and businesses calculate total reimbursement amounts for business expenses. It takes expense receipts by category (meals, lodging, transportation, supplies, entertainment), applies VAT/GST recovery rules and any percentage disallowances, and computes the net reimbursable amount the employee should receive.

How VAT/GST Recovery Works

When you incur business expenses, the VAT/GST you paid may be recoverable from tax authorities. Our calculator splits each expense into the net amount (excluding VAT) and the VAT portion. Recoverable VAT is calculated on the reimbursable portion of each expense, while non-recoverable VAT applies to disallowed amounts (e.g., 50% of entertainment expenses). This gives you an accurate picture of what you can reclaim.

Per Diem vs Actual Reimbursement

Companies often choose between reimbursing actual expenses or paying a fixed per diem daily rate. Per diem simplifies administration but may overpay on cheap trips or underpay on expensive ones. This calculator compares both methods so you can see the total cost to the employer and the net out-of-pocket amount for the employee under each approach.

Privacy & Data Security

Your expense report data never leaves your browser. All calculations - VAT recovery, disallowance computations, per diem comparisons, and multi-currency conversions - run locally on your device. No receipts, amounts, or personal information are uploaded, stored, or shared with any server.

Frequently Asked Questions

What is an expense report payment & VAT recovery calculator?

An expense report payment and VAT recovery calculator helps employees and businesses compute the total reimbursement amount for business expenses. It takes expense receipts by category (meals, lodging, transportation, supplies, entertainment), applies VAT/GST recovery rules, handles percentage disallowances (e.g., 50% of entertainment costs are non-reimbursable), and calculates the net reimbursable amount. It also shows recoverable VAT, non-recoverable VAT, out-of-pocket net after reimbursement, and the total cost to the employer.

How does VAT/GST recovery work on expense reports?

When you pay for business expenses, the VAT/GST included in the price may be recoverable from tax authorities. Our calculator splits each expense into the net amount (the cost before tax) and the VAT/GST amount you entered. The recoverable VAT is calculated on the reimbursable (allowed) portion of each expense. If a category has a disallowance percentage (like 50% on entertainment), the VAT on the disallowed portion becomes non-recoverable. This gives you an accurate picture of what you can reclaim.

What is the difference between per diem and actual expense reimbursement?

Actual expense reimbursement pays back the exact amount an employee spent on business expenses, based on receipts. Per diem reimbursement pays a fixed daily rate regardless of actual spending. Actual reimbursement is more accurate but requires more paperwork. Per diem is simpler but may overpay or underpay compared to actual costs. Our calculator supports both methods and compares them side by side.

Why are entertainment expenses only 50% reimbursable?

In many jurisdictions (including the US and UK), entertainment expenses are subject to a 50% disallowance rule. This means only 50% of the cost of client entertainment (meals, theater tickets, sporting events, etc.) is tax-deductible and reimbursable. The remaining 50% is considered a non-deductible, non-reimbursable expense. Our calculator automatically applies this 50% disallowance to the entertainment category.

How do I determine the VAT/GST amount from a receipt?

If your receipt shows the VAT/GST amount separately, enter it directly. If only the total (including VAT) is shown, you can calculate the VAT amount by dividing the total by (1 + VAT rate) to get the net amount, then subtracting from the total. For example, with a $120 receipt and 20% VAT rate: net = $120 / 1.20 = $100, VAT = $120 - $100 = $20. Our calculator's default VAT rates are 0% (US), 20% (EU/UK), 5% (Canada), 10% (Australia/Japan), 18% (India), and 15% (New Zealand).

What expense categories are included, and can I customize them?

The calculator includes six expense categories: Meals, Lodging, Transportation, Supplies & Materials, Entertainment, and Other Expenses. Each category has a default VAT rate and disallowance percentage. Entertainment has a 50% disallowance built in, and other categories have 0% disallowance. You can customize amounts and VAT for each category, but the category structure itself is fixed to cover the most common business expense types.

Is this expense report calculator suitable for international business travel?

Yes - the calculator supports 10 major currencies (USD, EUR, GBP, CAD, AUD, JPY, INR, CHF, SGD, NZD) with region-appropriate default VAT/GST rates. Enter your expenses in the local currency, select the correct currency, and the calculator handles the rest. Note that the calculator does not perform live currency conversion - you should enter all amounts in a single currency for consistent results.

Is my expense report data safe with this calculator?

Absolutely. Our expense report calculator runs entirely in your browser. Your expense amounts, VAT data, reimbursement scenarios, and personal financial information never leave your device. All calculations - VAT recovery, disallowance computations, per diem comparisons, and multi-currency formatting - happen locally with no data uploaded to any server. No account or signup is required.
